What CRM ChatGPT, Claude and Gemini Recommended for a Small Business Using Square

Consumer Showdown 1

Research directed by Adam Ace Spencer. Publisher: AI Showdown Lab.

What we tested

We submitted the same prompt to three consumer AI chat apps and checked their answers against the vendors’ own websites. The prompt describes a U.S. service business with one to three people, 50 to 150 paying customers a month and Square card payments. The business needs customer records, lead tracking and follow-up reminders. The CRM has to work with Square, the owner isn’t technical, and the budget is up to $50 a month. The prompt asked for a ranked top five, with a reason and a main limitation for each, citing current web sources.

A human collector used the consumer chat interfaces. This study does not include results from our separate CRM API Lab study.

Three AI apps, five test sessions

  • Three interfaces: ChatGPT, Claude and Gemini (the Gemini app).
  • Five observations, all collected Nov 1, 2026, at about 6 PM Eastern:
  • Primary, one per interface: a paid, logged-in session in Chrome Incognito for ChatGPT, Claude and Gemini.
  • Supplemental: logged-out Safari Private sessions for ChatGPT and Gemini.
  • The supplemental sessions are extra observations of interfaces we had already tested. They are not extra votes.
  • Not tested: Google AI Mode and AI Overviews, Perplexity, Microsoft Copilot and Grok. Untested isn’t a negative result.

Neither logged-out session produced the same ranking as its paid counterpart. Logged-out ChatGPT put vcita first and left Square Customer Directory and Zoho CRM out of its ranks. Logged-out Gemini left out 17hats, vcita and Dubsado. We cannot say subscription status caused these differences: browser, login state and session also differed, and each ran once.

How the AI apps ranked CRM tools

These rankings document what the AI apps said. They are not endorsements by AI Showdown Lab.

\*Paid ChatGPT’s numbered list puts Square Customer Directory at #1 and Bigin at #2, and those are the ranks we record. Its introduction, though, named Bigin as its first choice for anyone who needs a real sales pipeline, and Square’s Directory as the choice if simplicity matters most. We disclose both. We report both statements without classifying the difference as an error.

What the overlap shows

  • Each primary interface picked a different #1: Square Customer Directory (ChatGPT), Nutshell (Claude) and 17hats (Gemini).
  • HubSpot CRM and Less Annoying CRM were the only tools ranked by all three primary interfaces. None of them put either tool at #1.
  • We did not add, average or weight the rankings, or calculate a consensus. Supplemental sessions were excluded from the primary overlap comparison.

Agreement does not guarantee accuracy

When AI apps name the same product, their claims about it can still differ in accuracy. Two examples illustrate the problem:

  • HubSpot. Paid Gemini said HubSpot needs a third-party connector, such as Zapier, to reach Square. In fact, HubSpot lists its own free Square Data Sync app in its marketplace. Paid ChatGPT described a Zapier route and didn’t mention HubSpot’s own app. That is an omission, not a false claim. Paid Claude and logged-out ChatGPT named the app and correctly said it syncs customers, not payments.
  • Less Annoying CRM. Four of the five answers correctly priced it per user. Logged-out Gemini described it as one flat price for the whole team. The vendor charges $15 per user plus tax, so three users cost $45.

Errors, omissions and pricing conditions

We assigned one category to each checked claim to avoid counting the same issue more than once. The counts cover 24 material claims chosen because they affect the $50 budget, the Square connection, reminders or user count. These counts describe the selected claims, not an overall performance score or error rate.

CategoryCount
Inaccuracy (an explicit statement the vendor’s page contradicts)5
Omission (a relevant fact left out, or tier wording that’s ambiguous)3
Billing condition (a price that holds only on an unstated or mixed billing basis)5
Product limitation (a real limit of the product, whatever the AI said)5
Unknown (we couldn’t settle it)6

Inaccuracies (5). Three are in the paid Gemini answer and two in the logged-out Gemini answer. We found no inaccuracies among the selected claims checked in the ChatGPT or Claude answers. That does not establish that those answers were error-free.

1. HubSpot needs a third-party connector (paid Gemini). HubSpot’s own Square Data Sync exists.

2. 17hats named plans priced from $15 to $35 a month (paid Gemini). This pricing is inconsistent with the plans publicly advertised on 17hats’ pages as we checked them on Nov 1–2. The finding concerns only the mismatch with publicly advertised pricing at the time of our checks. We don’t claim those plans never existed; earlier or legacy availability is Unknown.

3. Square Customer Directory has no prospect follow-up reminders (paid Gemini). Square’s help pages say you can add reminders to customer profiles, so the broad claim is wrong. This does not mean Square Customer Directory provides a complete prospect follow-up system or meets the study’s lead-management requirements. Gemini’s point that it has no dedicated lead pipeline holds up.

4. Less Annoying CRM at one flat price for the whole team (logged-out Gemini). The price is per user.

5. HubSpot’s Square app described as well reviewed (logged-out Gemini). As of Nov 2, HubSpot’s marketplace listing showed 2.3 out of 5 from 13 reviews. Paid Claude reported that rating correctly.

Omissions (3)

  • Paid ChatGPT didn’t mention HubSpot’s own Square app.
  • Paid Gemini and logged-out ChatGPT listed vcita’s general features, including automated reminders, next to its entry Kickstart price. Neither said Kickstart includes reminders, but vcita’s table shows Kickstart without task or scheduling reminders or Zapier. We classified this as ambiguous wording about plan features, not an explicit false claim.

Billing conditions (5)

  • Nutshell (paid Claude). Its $13 per user (about $39 for three) is the annual rate; monthly is $19, or $57 for three. The entry tier also caps open leads at 100 with one pipeline, which went unmentioned.
  • vcita Kickstart (paid Gemini, logged-out ChatGPT). The answers gave $29 and $35 without a billing basis. Screenshots collected on Nov 1 of vcita’s pricing page showed Kickstart at $29 a month billed annually and $35 a month billed monthly. ChatGPT Work could not reproduce these dynamic prices on Nov 2, so they are observed pricing from our screenshots, not independently confirmed by both reviewers. We could not establish pricing for multiple staff members or which vcita plan the Square integration requires.
  • Zoho CRM Standard (logged-out Gemini). About $14 per user is the annual rate; monthly is $20.
  • Bigin plus Zapier (paid ChatGPT). The $46.99 three-user total is correct and its bases were stated: monthly Bigin plus annual-commitment Zapier. It is not a month-to-month total, which is about $56.99.

Product limitations (5 claims). These limits apply whatever the AI said:

  • HubSpot’s Square Data Sync syncs customers only, not transactions.
  • HubSpot’s Square app had a 2.3/5 rating from 13 reviews (Nov 2).
  • Bigin connects to Square through Zapier, which costs extra.
  • Dubsado works with Square or Dubsado Payments, not both (Dubsado help). In-person Square card-reader sales don’t reconcile automatically to Dubsado invoices.
  • The documented Zapier templates move data in one direction: Capsule to Square and Square to Bigin, rather than both ways.

Unknown (6). vcita multi-seat pricing and the plan Square requires; 17hats add-ons at $18 a month; the price of the Square marketing add-on that logged-out Gemini described (unsupported, price Unknown); HubSpot Starter at $15 a seat; Capsule’s paid price range; and Bigin’s 10-workflow allowance.

CRM costs for one or three users

Vendor pages checked Nov 1 or Nov 2, 2026; prices may change. Annual equivalents require a prepaid 12-month (or, where noted, 24-month) commitment. An annual equivalent divides a prepaid total into monthly amounts. It is not the price of a month-to-month subscription. Whether either fits a $50-a-month budget depends on whether you can commit, and if a required connector’s cost is unknown, we do not claim the product fits the budget.

How to use these findings when choosing a CRM

The following options may be worth evaluating based on your needs. These are practical considerations drawn from the verification findings, not an additional ranking or endorsement.

  • If you mainly want customer records with little setup, Square Customer Directory creates a profile with each sale and lets you add notes and reminders. It has no lead pipeline, so it doesn’t by itself cover tracking prospects.
  • If you want a free CRM with a first-party Square link for one or two people, HubSpot Free plus Square Data Sync may be worth evaluating, with its first-party Square link. Before relying on it, confirm that it covers your lead tracking and follow-up reminders and that the exact Square workflow does what you need; our checks did not establish those points. A third user needs a paid plan whose price we couldn’t establish.
  • If you need a sales pipeline for three people, Bigin and Nutshell are both worth a look, but we can’t say either meets a $50 budget without conditions. Bigin’s three seats are $21 a month on a 12-month prepaid commitment or $27 month to month, and the Square link needs a Zapier plan: $46.99 with monthly Bigin and annual Zapier, or about $56.99 all month to month. Nutshell’s three seats are $39 a month on an annual commitment or $57 month to month, and whether its Square link needs a paid connector is Unknown, so its total isn’t established. Nutshell’s entry tier also caps open leads at 100.
  • If you want simple per-user pricing, Less Annoying CRM is $15 per user plus tax, with Square through a connector.
  • If you also invoice through your CRM, check Dubsado’s Square restrictions and 17hats’ current plan details directly with the vendor.

Limitations

  • Prompt identity rests on the collector’s attestation. He attested to pasting the fixed prompt unchanged, once per session, with no edits, retries or follow-ups, and that the answer files are complete. No screenshot shows the prompt.
  • Citation URLs incomplete: collector waiver. The copied answers kept source labels, not links, so we can’t judge whether the AIs’ sources supported them. The vendor pages we checked are our sources, not the AIs’ citations.
  • Screenshots are partial. We have three partial frames, one for each paid session, and none for the two Safari sessions. They aren’t published.
  • Unrecorded details stay Unknown: plan details, memory and personalization, browser versions, exact times and model identities. On-screen labels were recorded as displayed. They aren’t confirmed model IDs.
  • Copied text, paraphrased here; full answers aren’t published.
  • One run per session. That isn’t a stable measure, and AI answers change over time.
  • Vendor pages change. We checked them Nov 1, 7:03–7:09 PM ET, and the independent reviewer checked them again Nov 2, about 2:45–2:50 AM ET.
  • Some items weren’t independently reviewed: Zoho CRM’s free three-user plan and Premium Zapier connector were checked only by our own evidence check.

Research methods and ownership disclosure

Captures were stored, locked and analyzed in the AI Showdown Research Engine, our internal research application. AI-assisted workflows handled intake, extraction and claim checking under human editorial direction.

An independent AI reviewer (ChatGPT) separately checked the material claims against official vendor pages; unsettled disagreements are marked Unknown. Adam Ace Spencer then accepted or revised each material finding as human editor.

All AI answers described here, including Gemini’s, are AI-generated and reported in paraphrase.

AI Showdown Lab is owned by Chell Brown LLC and operated by Marketing And Sales Help (MASH), a DBA of Chell Brown LLC. Our research methods and limitations are explained in the methodology. Chell Brown LLC, MASH and My MASH Card currently have no paid affiliate, referral, reseller or partnership relationships with CRM vendors.

This isn’t financial advice. Prices and features may change. Confirm the current terms directly with each vendor before buying.
